Family Reunion Trips travel experience

For 30 people at a family-focused all-inclusive, the resort portion of a week typically starts at roughly US$45,000 to US$50,000 at advertised lead-in rates, and real group quotes for good rooms in school holidays come in well above that. The biggest drivers are how many guests count as adults, which rooms you choose, and flights, which are priced separately.

Below we build a sample 30-person family, show how the rooms and ages turn into a price, and list the costs that sit outside the package. Rates used here are published "from" prices we checked on resort websites; they change daily, so check current rates before budgeting.

Step 1: Count ages the way the resort does

Resorts don't price by your family's idea of "kids". They use their own age bands, and those bands move the total more than anything else. Beaches Resorts, for example, books adults as ages 16 and over, children as 2 to 15 and infants as under 2, according to its all-inclusive page. A 16-year-old cousin is an adult on the invoice.

Club Med uses different bands for its clubs: the clubs for ages 4 months to 3 years cost extra, while Mini Club Med for 4 to 10 and the teen programs for 11 to 17 are included, as its family vacations page shows. A family with several toddlers should budget for those clubs separately.

Our sample family of 30, counted Beaches-style:

  • 20 adults, including grandparents and two teenagers aged 16 and 17
  • 8 children aged 2 to 15
  • 2 infants under 2

Step 2: Build the room mix

Thirty people rarely fit into rooms of equal size. A realistic mix for our sample family is 11 rooms:

HouseholdGuestsRoom type to request
Grandparents2 adultsRoom close to the main restaurant and pool
4 families with young children8 adults, 8 children, 2 infants4 family rooms or suites with a separate kids' area, cribs requested
Family with two older teens4 adults2 connecting rooms or one two-bedroom suite
2 couples4 adults2 standard rooms
2 single relatives2 adults2 rooms, or 1 shared room if they agree

Two points move the total. Ask how single occupancy is priced before you assume two singles cost the same as a couple. And remember that a family suite usually costs more per night than two standard rooms, but it keeps children and parents together, which is what most reunions want.

Put the room list in writing before you request a quote, with names, ages on the travel dates and any crib or rollaway requests. A quote built on a real list is far more accurate than one built on a headcount, and it makes later changes easy to track.

Step 3: Apply the rates

Family Reunion Trips travel experience

When we checked, Beaches advertised lead-in rates of about US$335 per adult per night and US$38 per child per night at Beaches Turks and Caicos, and about US$326 per adult and US$38 per child at Beaches Negril. Using the Turks and Caicos figures for 7 nights:

GuestsCalculationApproximate total (USD)
20 adults20 × $335 × 7 nights$46,900
8 children8 × $38 × 7 nights$2,128
2 infantsConfirm infant pricing with the resortAsk
Resort totalAbout $49,000

That works out to about US$1,630 per person on average, but treat it as a floor, not a quote. A "from" rate reflects the lowest-priced room on the best dates, and a reunion asking for family suites over school break will pay more. Ask how child rates apply in each room category, since they may depend on the number of adults sharing the room.

The advantage of a fully inclusive brand is that fewer costs are added later. Beaches says it includes all tips, taxes and gratuities, except for butlers and spa therapists, and includes round-trip airport transfers.

Step 4: Transfers, flights and group perks

Transfers. When transfers are included, you only need arrival times. When they aren't, a 30-person family needs either a coach or several vans, priced per vehicle, so ask the resort or a local operator for a group quote. Transfer time matters as much as cost for grandparents and toddlers: Club Med lists about 10 minutes from the airport at Punta Cana, but about 1 hour 15 minutes at Michès Playa Esmeralda.

Flights. Air is usually the largest cost outside the package, and a family flying from several cities will see different fares. Beaches' online booking handles air for up to eight passengers, so a family of 30 books group air separately. Our guide to group flight coordination explains how to hold seats for a large family.

Group perks. Booking as one group can add value. The Beaches social groups page lists a group photo session for 5 or more rooms, and a beach picnic, group activities and a group dinner for 10 or more rooms. Concessions must be confirmed with the groups department at least 60 days before arrival, and they can change.

Step 5: Budget for what the package leaves out

Decide early who pays for what. Some families split everything evenly per adult; others have grandparents cover the group dinner. Our article on sharing travel costs fairly walks through common approaches.

Bottom line

To estimate your own reunion, count guests in the resort's age bands, sketch the room mix, multiply by current rates and nights, then add flights and extras. For a 30-person family, the room list and the number of adults change the total far more than the choice between two similar resorts. Frequently asked questions

Is an all-inclusive cheaper than renting villas for 30 people?

Not always on the room rate, but meals, activities and kids clubs are covered, and nobody has to cook for 30. Compare the full cost, including food and transport, before deciding.

When do we pay for a group all-inclusive booking?

Usually a deposit holds the rooms and final payment is due weeks before arrival, but schedules vary by resort and group contract. Get the dates in writing before collecting money from relatives.
